 When submitting a work order please review the following information below. 

  • Non-Billable Work: Includes routine and preventative maintenance that is not charged back to the requesting agency.  
  • Billable Work: Work outside the scope of routine or preventative maintenance.

Carpentry

Non-Billable Routine or Preventative Maintenance includes but is not limited to:

  • Broken Glass in Windows, Doors, or Related Components
  • Sheetrock and Drywall Work in Public Common Area Space
  • Molding, Baseboards, or Carpet Work in Public Common Area Space
  • Replacing Missing or Damaged Ceiling Tiles in Common Rooms
  • Public Restroom Dispensers Including Paper Towel Holders, Hand Soap, or Toilet Paper Dispensers
  • Door Frame Issues

Billable Work Includes But is Not Limited to:

  • Repair or Replacement of Items caused by Tenant Negligence or Policy Violations
  • Hanging Pictures, Bulletin Boards, Paintings, or Plaques
  • Building or Repairing Cabinets, Counter Tops, or Shelves
  • Repairing or Maintaining Office Furnture (Chairs, Desks, Drawers)
  • Repairing Desk Top Glass
  • Repair or Replacement of Venetian Blind Systems
  • Installing Metal Covers Over Doors for Fire Protection and Security
  • Projection Screen Replacements for Conference Rooms or Computer Labs
  • New Construction, Renovations, Office Furnishings, or Carpet

Electrical

Non-Billable Routine or Preventative Maintenance Includes But is Not Limited To:

  • Emergency or Unscheduled Repairs
  • Inspection of Lamps, Bulbs, or Ballasts
  • Replacement of Lamps, Bulbs, or Ballasts
  • Maintenance of Electrical Wiring
  • Maintenance of Receptacles and Switches
  • Elevator Maintenance

Billable Work Includes But is Not Limited To

  • Repairs or Replacement of Building Electrical Systems or Component Parts Caused by Tenant Negligence or Policy Violations
  • Installation of New Electrical Circuits
  • Renovation and New Construction
  • Any Specialized Equipment
  • Light Fixture Installs
  • Special Lighting

 

Keys, Doors & Signs

Non-Billable Routine or Preventative Maintenance Includes But is Not Limited To:

  • Inspection of Locks, Door Opening Mechanisms, and Other Door Related Hardware
  • Routine Maintenance of Locks, Door Opening Mechanisms, and Other Door Related Hardware
  • Routine Maintenance of Door Checks and Hinges

Billable Work Includes But is Not Limited To:

  • Repairs or Replacements of Keys, Locks, Doors, and other Related Components Caused by Tenant Negligence or Policy Violations.
  • Cutting of Additional Door Keys
  • Desk or File Cabinet Keys and Lock Issues
  • Installation of New or Additional Card Readers
  • Installing Department or Other Custom Indentification Signage
  • Lockouts and Re-Keying
  • Replacing Locks That Have Failed Due to Tampering
  • Replacement of Unbroken Hardware with Another Type of Hardware
  • Lost Keys

Life Safety

Non-Billable Routine or Preventative Maintenance Includes But is Not Limited To:

  • Ensuring that Fire Extinguishers Function Properly in Common Area Space
  • Ensuring that Alarm Systems Function Properly in Common Area Space
  • Inspection and Maintenance Services for Life Safety Systems

Billable Work Includes But is Not Limited To:

  • Repair or Replacment to Alarms, Extinguishers, or other Components of Life Safety Systems Caused by Tenant Negligence or Policy Violations.
  • Renovation or Replacement of Life Safety Systems Within Department Space
  • Accidental Damage or Line Pressurization From a Tenant Issue or Incident

 

Painting

Non-Billable Routine or Preventative Maintenance Includes But is Not Limited To:

  • Maintenance painting in common areas as mandated or as funds are available.
  • Painting interior and exterior spaces when required as part of maintenance plans.

Billable Work Includees But Is Not Limited To:

  • Painting Work Required Due to Tenant Negligence or Policy Violations
  • Touching Up Painting
  • Painting in Office Areas
  • Floating and Taping Walls
  • Sanding, Stripping, and Finishing of Wood Surfaces
  • Refinishing Furniture.
  • Painting, Sanding, and Taping in Projects, Renovations, or New Construction.
  • Painting in Any Area that is not a Common Area.

Plumbing

Non-Billable Routine or Preventative Maintenance Includes But is Not Limited To:

  • Maintaing Bathroom Sinks, Toilets, Urinals
  • Sewer lines; water lines; vacuum and air lines
  • Sump pumps, hot water circulating pumps
  • Air conditioning drains

Billable Work Includes But Is Not Limited To:

  • Plumbing Work Caused by Tenant Negligence or Policy Violations
  • Requests to upgrade sinks, toilets, urinals, and faucets may be billed to the requesting agency.
  • Renovation or new construction of above systems

 

Utilities

Non-Billable Routine or Preventative Maintenance Includes But is Not Limited To:

  • Unscheduled or emergency repairs  to Steam lines, Steam Traps, Chilled Water Lines
  • Air Handlers
  • Chilled Water Pumps, Heating Hot Water Pumps, Outside Sump Pumps, Fire Pumps, Condensate Pumps
  • Boilers
  • Chillers
  • Cooling Towers
  •  Unscheduled/Emergency Maintenance of Air Conditioners
  • Thermostat Calibration
  • Air Handler Controls Work
  • Pneumatic, Electronic, and Digital Controls Work

Billable Work Includes But is Not Limited To:

  • Work Initiated Because of Tenant Negligence or Policy Violations
  • Renovation or New Construction of Above Systems
  • Renovation or Replacement of HVAC systems
  • Refrigerators (Portable and Laboratory)
  • Freezers and Walk-in Coolers
